Five key challenges for Manufacturers and how Sage 200 can solve them

Manufacturing businesses need industry focused operations and accounting software planning. 1) Build what you need, when you need it - Problem – With a constantly changing order book it can be difficult for manufacturers to keep up with production and order prioritisation. - Solution – Sage 200 provides the user with an in depth view of the works orders required and when to raise them. It also alerts users to any late or overdue orders at the first sign of problems. 2) Maintain stock levels - Problem – Stock management is dependent on the company’s method of working. Ultimately it is a blend of stock reorder levels, minimum levels and both Sales and Production demand. With a number of mitigating factors, it’s difficult to perform accurately. - Solution – Sage 200 provides the user with an in depth view of the purchase orders required and when to raise them. It takes into account the quantities needed, who to purchase them from and ensures you adhere to the supplier’s reorder quantities. It looks ahead at future stock balances, orders and forecasts. Also, it can aggregate the requirements to ensure efficient procurement takes place. 3) Maintain traceability - Problem – Most manufacturers have some, if not total, traceability requirements. This means that they need to be able to provide traceable information for component(s), finished goods or both. This can mean holding paperwork and having to keep separate records against all activities. - Solution – Sage 200 provides the user with a complete batch and serial tracking system. The ‘Item Traceability’ enquiry enables users to lookup a serial or batch number at any time in the future to see the items journey from receipt to sale or inclusion in a build. 4) Accurate costing - Problem – A key requirement for planning is the visibility of accurate costings. A number of companies do not have this in place and rely on their month end P&L for retrospective reporting. - Solution – Sage 200 can be setup in many ways to help provide accurate manufacturing costings. Stock can be issued on a FIFO, Standard, Average or Actual basis. If the site doesn’t want to cost for production an overhead recovery can be applied. If a route is created, both labour and machine times can be applied on a budgeted basis or recorded in real time, incurring the costs of who did what for how long and which machines were used. All of this culminates into drillable costings to provide you with accurate data. 5) Shop Floor Data Capture - Problem – Companies struggle to link the actual production with the back office system. - Solution – Sage 200 has the ability for shop floor users to see their open works orders, issue materials, log onto the route and record any variances. If non conformance reporting is also required there is a handy question section to enable users to record results. All of this is done in situ on the shop floor and instantly updates the core system in real time.

With a final submission date of 19th April 2021, there are numerous tasks that need to be completed ahead of the deadline. These include reporting to HMRC on the previous tax year, preparing for the new tax year, and issuing P60s to your employees. New tax year: Key changes and initiatives for 2020/21

The tax year for 2020/21 introduces a number of new changes to tax and payment legislation: 1) IR35 changes for contractors and businesses: As of 1 April 2020, medium and large-sized businesses are required to carry out IR35 checks. This removes the requirement of the contractor working for such businesses to self-determine, but might also bring profound administrative challenges when it comes to compliance. 2) National Insurance and Personal Allowance: In the Queen’s Speech, the government announced it’s raising the National Insurance threshold to £9,500 from the 2020/21 tax year. In other words, employees earning less than this will pay no National Insurance, while other employees will pay National Insurance contributions only on earnings over £9,500. 3) Farming subsidies following Brexit: Although not a measure for the new tax year, the government has announced it’s providing £3bn in funding for farmers and rural communities in 2020. This will supplement European Union (EU) funding until 2023, at the latest, following the UK leaving the EU and therefore having left the Common Agricultural Policy (CAP). 4) VAT reverse charge for construction: The VAT reverse charge for construction will now come into effect in October 2020. Only affecting those already enrolled in the Construction Industry Scheme (CIS), the new rules mean sub-contractors providing services to a VAT-registered customer will no longer have to account for the VAT. Instead, the customer will account for the VAT –it will be considered input tax for them, as if they’ve made the supply to themselves. 5) Retail rate discounts: For the 2020/21 tax year, the retail discount scheme that sees some shops pay lower rates is being raised to 50%. This new discount applies to occupied retail properties with a rateable value of less than £51,000 – shops, restaurants, cafes, and drinking establishments. New for 2020/21 are the inclusion of cinemas and live music venues. Local councils administer the rate decreases. 6) Minimum wages: As of 1 April 2020, the National Living Wage rises by 6.2%, ushering in a minimum rate for workers over the age of 25 of £8.72 an hour. The government forecasts the National Living Wage will rise to £10.50 by 2024. Other increases include: 21-24 year olds: 6.5% increase from £7.70 to £8.20 18-20 year olds: 4.9% increase from £6.15 to £6.45 Under 18s: 4.6% increase from £4.35 to £4.55 Apprentices: 6.4% increase from £3.90 to £4.15 7) VAT rises: As with income tax and National Insurance, the government says it has committed not to increase VAT, so it should stay at the current standard rate of 20%, reduced rate of 5%, and zero rate of 0%. Acorn hosts “Unlock Your Business Potential” Seminar

Close to 80 people were in attendance at Acorn IT Solutions and Sage’s “Unlock Your Business Potential” seminar to hear about the latest updates to Sage 200cloud and Sage add-ons from Draycir, Eureka and Sicon. On Tuesday 8th October, the historical Crumlin Road Gaol in Belfast played host to the “Unlock Your Business Potential” seminar, powered by Acorn IT Solutions and Sage. Declan Bradley kicked off the seminar by welcoming all attendees, outlining the agenda and gave an update on the past year in Acorn IT Solutions, highlighting notable achievements such as securing All-Ireland Business All-Star Accreditation. Sage 200 product expert, Piers Thom, from Sage UK was the first speaker up and gave a highly informative presentation on Sage 200cloud, demonstrating the key features and modules, whilst updating the crowd on the latest enhancements to Sage 200 cloud. After a short break for refreshments, Allan James from Eureka Solutions highlighted how your Sage software can be streamlined with products such as Sales Order Plus for Sage 200, Purchase Order Plus for Sage 200 and web orders for Sage 200. Steve Jemmott from Sicon was next up to highlight how their add-ons and integrations can enhance your Sage 200 software including purchase requisitions, invoice approvals and expenses. The final ISV partner to address the crowd was Zoe Young from Draycir who demonstrated document management and credit control solutions for Sage 200 including Spindle Document Management and Credit Hound. Packed with great new features, the latest version of Sage 50cloud includes improvements to core functionality and performance to ensure your business continues to run smoothly. New data fixing and general maintenance improvements also keep your software and your data healthy. The main features include: 1) Data Corruption Improvements While data corruption is rare, in Sage 50cloud Accounts v26 improvements have been made to the Check Data option to make it easier to repair errors if they do occur. Automatic repair – If errors are detected, where possible you’re given the option to run an automatic repair of your data. Last known good backup – If errors can’t be repaired, Sage 50cloud Accounts v26 automatically detects your most recent error free backup to restore. Sage 200cloud – Summer 2019 Enhancements

Sage have announced their latest additions to Sage 200 cloud with the release of the Summer 2019 Enhancements package. Highlights of the Summer 2019 release include: 1) VAT: domestic reverse charge compliance The latest version will ensure compliance with the incoming legislation change to the way VAT is collected in the building and construction industry. The scheme means that those supplying construction services to a VAT-registered customer will no longer have to account for the VAT. Instead, the customer will account for the VAT. Sage 200cloud now permits tax code abilities and text on invoices and also offers an MTD currency alert which produces an alert for customers who are not operating in GBP or EUR and is compliant with MTD (Making Tax Digital). 2) Bank reconciliation improvements If you don’t want to reconcile the full amount of the transaction, you can part reconcile the transaction by entering the Amount to Reconcile for the transaction, before you match it. The remaining amount of the transaction can be reconciled the next time you do your bank reconciliation. The transaction will be marked with a status of Part, to indicate it has been part reconciled. Additionally, you can now see the URN of a transaction when you reconcile or unreconcile. 3) Scan and attach documents for sales invoices, credit notes and goods received Now you can attach files and scanned documents when you view sales invoices and credit notes, confirm receipt of goods received (GRNs), and view the delivery history of a purchase order or return. When you use the Customer Transaction Enquiry, select a sales invoice or credit note, then select Attached Documents. When you use the Nominal Transaction Enquiry, view the transaction detail for a sales invoice or credit note, then select Attached Documents. When you Confirm Receipt (confirm goods received), select the Attach Documents check box before you select Save. When you view the Delivery history for purchase orders and returns, select Despatches or Deliveries , then select Attached Documents. 4) Microsoft 365 Flow Microsoft Flow is a cloud-based service that makes it practical and simple for people to build workflows that automate business tasks and processes across applications and services. (To use this feature, you’ll need to use Microsoft Flow with an Office 365 subscription.) The purchase requisitions flow automatically sends emails to people to notify them during the authorisation process. Authorisers will receive email notifications when they have new purchase requisitions that require authorisation. The person who submitted the purchase requisition will receive an email notification when it is authorised or rejected. The supplier bank details flow automatically sends emails to people to notify them of any changes to the bank details for supplier accounts. The emails are sent to everyone that has user access to the Audit Log, so that they can check the changes in the log.

VAT: domestic reverse charge for building and construction services

The domestic reverse charge is a major change to the way VAT is collected in the building and construction industry. It will be introduced on the 1st October 2019, without a transitional period, and will have a significant impact on the accounting practices and cash flow of businesses in the construction sector. Here’s everything you need to know: What is the VAT domestic reverse charge? It’s effectively an extension of the Construction Industry Scheme (CIS) and applies only to transactions between VAT-registered contractors and sub-contractors who are registered for the CIS. The scheme means that those supplying construction services to a VAT-registered customer will no longer have to account for the VAT. Instead, the customer will account for the VAT. In even simpler terms, for services they provide, sub-contractors will require the contractor employing them to handle and pay the VAT directly to HMRC. The payment received will be for the cost of the work done (plus materials used). Why is it being introduced? HMRC says it will combat fraud, whereby construction businesses charge VAT for the services they supply but then disappear without paying their VAT bill. By moving the VAT charge down the supply chain, HMRC intends to make this kind of fraud impossible. Who does the VAT reverse charge for construction services apply to? It applies only to VAT-registered businesses who are registered with the CIS, and use the CIS to report payments. So it applies to services supplied between the majority of construction sub-contractors and contractors in the UK. If your business is not VAT registered then the reverse charge cannot be applied to you, and standard VAT rules apply for the supplier. Client Profile: DSP Supermarket Group, owned by the Kelly family, are a local retail grocery company who operate under the Henderson Group franchises of Eurospar, Spar, Vivo and Vivoxtra. They first began trading as a small newsagent in Maghera in the 1970’s and today have 10 stores in the Mid-Ulster area. The company now employs close to 350 people and Turnover is circa £26 million per annum. What was the challenge? DSP Supermarket Group were using TASBooks, a basic accounting package for small businesses. It was proving increasingly difficult to manage the 10 stores individually which was leading to delays, inefficiencies and increased costs. On the 2nd April 2002, our directors Declan Bradley and Dominic McMullan came together to form Acorn IT Solutions. Sage 50 cloud v25.1 is here

Sage have announced the release of Sage 50 cloud v25.1 which now makes it even easier for users to run their business more efficiently. Highlights of the new release include: 1) Attach documents to VAT returns (MTD Feature) What it does? – MTD will mean that businesses will now need to submit their VAT through the software and keep a digital audit trail of their transactions. You can now attach a copy of the excel document you used to calculate your transactions to the VAT return so you have a record of your calculations. How does it support you? – MTD requires business to keep a digital record of their transactions, this will enable businesses to keep a complete audit trail of the transactions and the calculations they have carried out within Sage 50 cloud. This means they don’t need to worry about storing documents outside of the software and they have a complete record should they have to product them for HMRC. 2) Attach documents to journals (MTD Feature) What it does? – Some businesses process journals to move money in their nominal ledger, this can be done based on advice from an accountant, to adjust the VAT return or to correct something which was posted incorrectly. This new feature allows the customers to attach documents to the journal. How does it support you? – Businesses will be able to keep a full audit trail of why they have processed the journals. An example of this would be calculations done in excel to adjust the VAT return or to keep a record of an accountant’s instruction to post journals to move figures in the nominal ledger. 3) Access VAT return with users logged in What it does? – You can now run your VAT return without having everyone logged out of the software. How does it support you? – With businesses now required to submit VAT through the software this means that businesses will not experience any downtime when processing or submitting their VAT. This means the business will save time and remain productive when carrying out this vital activity. 4) Track bank reconciliation changes What it does? – Sage have added additional functionality which will identify transactions which have caused a change in the last reconciled balance so customers can quickly make corrections and get this right. How does it support you? – A common issue customers face is when they go to do their bank rec and the balance doesn’t match their statement. This is normally caused by transactions being deleted or adjusted after the last bank rec. The process for correcting this involves trawling through bank statements and matching them to Sage transactions until you find the transactions that are missing. This is no longer an issue as the software will tell you that there’s been a change and which transactions have caused this to happen. Acorn IT Solutions hosts successful Information Day and Making Tax Digital Update

Acorn IT Solutions were delighted to host their Information Day and Making Tax Digital Update on Thursday 25th October 2018. Close to 100 people from across Northern Ireland made their way to the wonderful venue at Seamus Heaney HomePlace in Bellaghy. Making Tax Digital (MTD) is one of the biggest accounting shake-ups ever seen in the UK which will affect 89% of companies. The new rules mandate that from the 1st April 2019, VAT registered businesses with a taxable turnover above the VAT registration threshold (£80,000) must keep records in a digital form and file their VAT returns via MTD enabled software. The event kicked off with an introduction from Declan Bradley who welcomed everyone, outlined the agenda for the day and gave an update on the company. Oisin Geraghty from Sage Ireland spoke about the importance of the relationship between Sage and Acorn IT Solutions – now one of the four strategic Sage Partners in Ireland. Making Tax Digital: Is your business prepared for it?

Making Tax Digital is HMRC’s strategy to modernise the UK tax system, making it fully automated, digital and online based. The new legislation mandates that VAT registered businesses with a taxable turnover above the VAT registration threshold of £85,000 must from the 1st April 2019: Keep records in a digital form; and File their VAT returns via MTD enabled software 89% of UK businesses will need to change the way they process tax. Is your business prepared for it? Making Tax Digital Checklist: 1. Figure out if your business will be impacted by MTD for VAT: If your business is VAT-registered, with a turnover above the VAT threshold (£85,000) then Making Tax Digital for VAT will be required within your business. Digital record keeping will be required so you will have to ensure that VAT information is kept in an MTD compliant manner that can be “digitally linked”. A digital link allows data to be imported/exported between programs without the need for manual intervention. The level of impact will depend on your current accounting software within the business. In some cases, it may be as simple as feature updates whereas manual record keeping such as Excel will have to be replaced with a software-driven approach for recording VAT details and filing VAT returns. 2. Work out which business processes need to be adapted for MTD for VAT: You should look at all your processes that revolve around generating your VAT return and confirm what activities need to be changed to become MTD compliant. Some key areas that should be analysed should concern how you raise sales invoices and capture expenses, whether you use a cash accounting scheme or if it is invoice-based and decide what other areas of your VAT accounting are still paper-based or exist outside of your accounting software. 3. Ensure you have “functional compatible software” for MTD for VAT: MTD enabled software is a software program or set of compatible programs that must be able to; record and preserve VAT records in an digital form, provide to HMRC information and returns from the electronic records in an electronic form and by using the HMRC Application Programme Interface (API), and lastly to receive information from HMRC. If you’re using desktop accounting software then you will probably need to update it for MTD and if you’re using a cloud accounting software package then it should update automatically for MTD. 4. Work out when to switch to MTD for VAT: If you haven’t already done so, we recommend that you switch as soon as possible to ensure your MTD software will be able to be implemented with as little disruption as possible. This may require training on how to use the MTD software or may involve an accountant, so it is advisable to ensure that your business is MTD compliant well before the upcoming 1st April 2019 deadline. After outgrowing their previous base in Maghera, Acorn IT Solutions signalled their growth intentions with a £150,000 investment to a new Head Office in Kilrea. A year has passed since then and we catch up with Declan Bradley, Joint Director of Acorn IT Solutions to see how it’s been going: “It’s hard to believe it’s been a whole year since Acorn made the move to Kilrea. Sage Leadership Team visit Acorn IT Solutions

Acorn IT Solutions were delighted to welcome Barry Murphy, the Managing Director of Sage Ireland and Celine Maher, Head of Sales at Sage Ireland, to their Head Office in Kilrea on Thursday 14th June. The visit of Barry and Celine provided Acorn with a fantastic opportunity to not only showcase their new premises, but also introduce the various members of the Acorn team who specialise in implementing Sage software for their customers. New additions to the Acorn Team

Acorn IT Solutions are delighted to have welcomed four new members to their dynamic team in Kilrea, Northern Ireland. This investment demonstrates Acorn IT Solution’s continued commitment to growth and local employment in the area bringing the total number of employees to thirteen. Ruairi McCallion has joined the Software Development team and brings a wealth of experience. Ruairi joined from Sphere Global where he worked as a Developer and has completed a Degree in Software Development. Cormac Davidson has joined Acorn IT as Support Consultant. Cormac has a degree in Computing Technologies with prior experience as a Technician with MS Computers and in Operations and Sales Management with Cassidy’s Fruit and Veg. Niall Delargy has been added to the Marketing Team. Niall previously worked in Marketing for Toals Bookmakers and Tourism Ireland and has recently completed a Master’s Degree in Digital Media Communications with an undergraduate degree in Business Management. Chloe Gormley takes over the Office Manager role and joins from Tobermore Concrete where she has over five years’ experience, specialising in the processing of Payroll and Purchase Ledgers. This was a fantastic opportunity to exhibit and showcase our business to over 1,000 delegates across a variety of industries.
